  - To assist you in completing your vendor qualification form for the Empatica Health Monitoring Platform, we have prepared a detailed documentation pack. This information can be used to facilitate your organization’s review and approval process. Please note the information contained is relevant to the Professional plan only.
  - The vendor pack contains: HECVAT; ISO Certification; CE Certification; Data Processing Agreement; IT Risk Assessment; Data Integrity Statement

Using the Pricing Simulator

Our Online Store page includes a helpful pricing simulator that allows you to explore your options and determine what bundle selection is right for your research needs.

The Total due is an indicative amount that reflects the final pricing. Taxes and shipping fees will be applied at checkout.

The amount will update automatically as changes are made. By editing your selection, you can compare the Total Bundle cost until you are ready to proceed.

If the 'Go to checkout' button is clicked, the checkout will be pre-filled with the information you have inserted in the pricing simulator.

If you are using an academic discount, you will need to manually enter the discount code.

If the 'Get a quote' button is clicked, you will be redirected to the checkout page, where you can edit your information and generate a quote.

Select the following to edit your bundle:

Currency method (USD vs. EUR)
- Use the toggle to compare currency methods
- Pricing will display in EUR or USD based on the final country or region added
EmbracePlus device quantity
- Update the number of EmbracePlus devices
- The maximum number of devices is 30
  - If you would like to purchase additional devices, please contact our Sales Team (sales@empatica.com) directly.
- A volume discount is applied as the device quantity is increased
Subscription Period - Data Access Duration
- Option for a 3 year or 5 year subscription
  - Clicking on save 10% with 5 year subscription will update the price to display the 5 year subscription
- The number of subscriptions will automatically update to match the device quantity
Academic Discount
- Apply for a 25% academic discount

Generating a Quote

To generate a valid quote directly through our Online Store, complete all the mandatory fields in your online cart. No payment method is required. Then, select the ‘Get a quote’ option to create your Quote.

A new tab is automatically opened with a PDF file including the Quote. You can close the checkout page without completing the purchase.

The quote contains a link that re-opens the cart, with all your previously entered information, allowing you to complete the purchase with your selections. When you are ready to proceed, you can continue the checkout process and complete your purchase using the link contained in the quote.
The generated Quote is valid for 30 days.

Placing your Online Order

After confirming your Total Bundle, including the EmbracePlus devices and subscription duration, you will need to provide your Shipping and Billing Information.

- Include any Building Names, Room Numbers, or Address Instructions
Billing Information

Billing Information Includes:

Tax ID (EIN / VAT)*
- Enter a valid Tax ID to complete your purchase through our Online Store
- A Tax ID is a unique identifier used for tax purposes. The format and official name of this identifier can vary by country.
  - For example, in Europe it is known as a VAT number or TIN; in the US it is referred to as an EIN; in Japan it is referred to as the Corporate Number. Please refer to your Purchasing or Financial Department to obtain the correct Tax ID number.
    - If applicable, apply for Tax Exemption
  - If the Tax ID is excluded in the checkout, a purchase can be made as an 'Individual' and will be taxed accordingly. Taxation may vary depending on your country and currency.

Read and review the Terms and Conditions. When this action is completed, select the checkbox to confirm that you understand the Terms and Conditions.

When you are ready to complete your purchase, click the ‘Pay Now’ button to proceed with the transaction. You will receive an email including the invoice associated with your order.

Applying for a Tax Exemption

To apply for a tax exemption, you will need to provide information to confirm your tax exempt status.

When entering your Billing Information, you will have the option to select a checkbox to ‘Apply for a tax exemption’. This option appears under the Tax ID field in the checkout process.

To apply for tax exemption, you will need to share the following:

A certificate demonstrating your tax exempt status
- Accepted file formats: pdf, jpg, png
- The maximum file size is 5 MB
Country that issued the certificate
State or region covered by the certificate
Company Name
Date the certificate was issued
Date of certificate expiration
Registration Number

Empatica will review your submission for tax exemption. Once validated by Empatica, your order will be shipped and you will receive a confirmation email.

Accepted Payment Methods

Credit Card Payment

If you choose to pay by credit card, once you complete the payment, your order will be processed immediately. We accept Visa, Mastercard, American Express, and UnionPay.

Bank Transfer

If you choose Bank Transfer at checkout, your order will be created and held until we receive your payment. This process typically takes 4-5 business days from when you confirm your order and initiate the bank transfer. Once the payment is received on our accounts, we will proceed with processing your order.

Buy Now, Pay Later (Net 30)

Our Pay Later option is designed exclusively for our academic customers. During checkout, you can opt to pay 30 days after receiving your purchase confirmation. Your order will be created immediately, but processing will only begin once we have successfully verified the documents (i.e. Purchase Order or “PO”) you provide.

Choosing to Buy Now, Pay Later (Net 30)

For academic customers who have applied and received an academic discount code (Apply for a 25% academic discount), Empatica offers the option to make a purchase through our Online Store and pay later. Depending on your organization’s research or purchasing needs, this method may be a preferred option.

Because you have a valid academic discount, you’re eligible for Net 30 payment terms. You’ll need to provide a valid form of payment and agree to Terms and Conditions. Your order will be processed after a successful review of your documents, usually within a business week. Your payment will be due 30 days from the invoice date. As stated in our Terms and Conditions, lack of payment will ultimately result in device blockage.

Once you enter the academic discount code at Checkout, the Pay Later (Net 30) option will appear under the ‘Payment Method’. Switch the toggle to ‘Apply’ to use the Buy Now, Pay Later method. The field will turn teal when active.

To continue, you must provide the following:

A Quote from Empatica
- To pay with Net 30, you must have a quote that is no older than 30 days
- Use the ‘Get a Quote’ option to generate a quote autonomously
A Purchase Order (PO)
The Quote Number
The Purchase Order Number
The Purchase Order Issue Date
- Format: MM/DD/YYYY

Then, read and review the Terms and Conditions. When this action is completed, select the checkbox to confirm that you understand the Terms and Conditions.

You can then complete your order without payment by selecting ‘Order Now’. Once your order has been reviewed, you will receive an email including your order confirmation and invoice.

Buying Additional Accessories

In case you would like to purchase additional accessories to have as backups or as replacements, you have the option to do so through our Online Store.

By scrolling down on the Online Store main page, you can purchases additional accessories without any associated EmbracePlus bundle purchase.

Buy an extra single charger, it includes a USB Type-A cable so you can connect it to your laptop or external power supply, making it easier to charge EmbracePlus wherever you are.
